How to support your businesses and community groups

Quick reference guide for council officers

This section provides a quick reference guide for council officers on how to support FoodTrader users on the following:

  • Visit www.foodtrader.vic.gov.au
  • Select the Login button in the top right-hand corner.
  • On the Sign in page, select Don’t have an account? Sign up now.
  • Enter the email address previously used to log into Streatrader and follow the prompts to set up your FoodTrader account.

If the business/community group no longer has access to their Streatrader email address, follow the change of email address process Registrations (OSCAR User Guide).

The verification code will come from Microsoft on behalf of Department of Health, Victoria msonlineservicesteam@microsoftonline.com and generally takes up to a minute to come through.

If the business has not received the code, ask them to:

  • check they have entered the email address correctly
  • refresh their email
  • check their junk/spam folder
  • save the email address: msonlineservicesteam@microsoftonline.com to their email contact list.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘All’ under Statements of Trade. If using your phone, click on the three lines in the top left corner to display the menu.
  • Click on ‘Apply for a Statement of Trade’.
  • Select the premises you wish to trade with from the drop down box.
  • Enter the name of the event you will be trading at, the Venue/Location and Street Address.
  • Street Address LGA and Trading Council will autofill once you have entered the address.
    Note: If you search and select an event from the list, the event name, venue, address and council fields will automatically populate.
  • Select your Trading Schedule and enter the date/s.
  • Scroll up to the top of the page, select ‘Submit application to council’.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘All’ under Statements of Trade. If using your phone, click on the three lines in the top left corner to display the menu.
  • Click the view icon in the far-right column to open the Statement of Trade.
  • Select the ‘Open SOT Certificate’ button at the top of the page to download the certificate.
  • Once downloaded, the certificate can be printed and retained.

  • Using the navigation menu on the left, select ‘Statements of Trade’.
  • Use the drop-down Filter menu to refine your search for the required SOT.
  • Click the view icon in the far-right column to open the SOT.
  • Select ‘Preview SOT’ at the top of the page to download the certificate.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘All’ under Premises. If using your phone, click on the three lines in the top left corner to display the menu.
  • Select the New Premises’ button at the top of the Premises list.
  • Enter all details and select ‘Submit’.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘Overview’ under Profile. If using your phone, click on the three lines in the top left corner to display the menu.
  • Select the ‘Reopen’ button in the Registration or Notification tile.
  • Review all information that was previously on file and update as required.
  • Select ‘Submit Application to Council’.

  • Using the navigation menu on the left, select ‘Registrations’.
  • Use the drop-down Filter menu to refine your search for the required registration.
  • Click the view icon in the far-right column to open the registration.
  • At the top of the page, select ‘Reopen’.
  • Review all information that was previously on file and update as required.
  • Select ‘Submit Application to Council’.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘Overview’ under Profile. If using your phone, click on the three lines in the top left corner to display the menu.
  • Select the ‘Renew’ button in the Registration tile.
  • Review all information and update as required.
  • Select ‘Submit Application to Council’. 

Note: If the registration has migrated from Streatrader, the user will need to complete all mandatory fields (steps 1 to 6) before they can submit the renewal.

  • Log in to www.foodtrader.vic.gov.au 
  • Using the navigation menu on the left, select ‘Overview’ under Profile. If using your phone, click on the three lines in the top left corner to display the menu.
  • Select the ‘View/Edit’ button in the Proprietor details, Principal premises and/or Contact details tiles.
  • Update details as required.
  • Enter a reason for the change.
  • Select ‘Submit’.
